A specification can wait. The current workflow, including its workarounds, gives us the most useful starting point.
Worth having, if it already exists
- An export or a spreadsheet — the one someone maintains by hand is usually the most honest document in the business.
- A screenshot of the screen people complain about. One is enough.
- A recording of someone doing the job — five minutes, phone camera is fine. This alone can replace two workshops.
- The last audit finding, or the report nobody trusts, unedited.
If none of this exists yet, that is a perfectly normal place to start and we will say so.
You can leave these for later
- A requirements document. We will shape that together after seeing the current workflow.
- Tidying the data first. The state it is in is information we want.
- Getting everyone aligned before the call. Disagreement in the room is faster than consensus assembled in advance.
- An RFP, unless procurement obliges you. Then send it and we will answer it properly.
These can wait until the first useful scope is visible.
